Accompanying Persons Program
There will be an accompanying persons meeting, including a continental breakfast on Monday, 3 August, at 1000 hrs, where they can gather to rendezvous with friends, get information, and plan and launch their day.

JPC “No Paper, No Podium” Policy
JPC has a “No Paper, No Podium” policy. If a written paper is not submitted by the final manuscript deadline, authors will not be permitted to present the paper at the conference.
Final manuscripts are due at AIAA by 13 July 2009. It is the responsibility of those authors whose papers are accepted to ensure that a representative attends the conference to present the paper. ITAR approval is required for publication and presentation of a paper by a U.S. Person. Coordination of ITAR approval is the responsibility of the author and the author’s organization.

Notice on Visas
If you plan to attend an AIAA technical conference or course held in the United States and you require a visa for travel, it is incumbent upon you to apply for a visa with the U.S. Embassy (consular division) or consulate with ample time for processing. To avoid delays, AIAA strongly suggests that you submit your formal application to U.S. authorities a minimum of 120 days in advance of the date of anticipated travel.

AIAA cannot directly intervene with the U.S. Department of State, consular offices, or embassies on behalf of individuals applying for visas.

Conference Proceedings
The 7th International Energy Engineering Conference and the 45th AIAA/ASME/SAE/ASEE Joint Propulsion Conference Proceedings will be available in two formats: after-meeting DVD and online proceedings. The online proceedings will be available on 20 July 2009. The cost is included in the registration fee where indicated. If you register in advance for the online proceedings, you will be provided with instructions on how to access the conference technical papers. For those registering on-site, you will be provided with instructions at registration. The after-meeting DVD will be mailed approximately eight weeks after the conference.

Journal Publication
Authors of appropriate papers are encouraged to submit them for possible publication in one of the Institute’s archival journals: AIAA Journal; Journal of Aircraft; Journal of Guidance, Control, and Dynamics; Journal of Propulsion and Power; Journal of Spacecraft and Rockets; Journal of Thermophysics and Heat Transfer; or Journal of Aerospace Computing, Information, and Communication. You may now submit your paper online at www.writetrack.net.

Membership Information Nonmembers who pay the full nonmember registration fee will receive their first year's membership at no additional cost. Members who wish to renew or reinstate their membership must also pay the full nonmember conference registration fee. Students who are not members may apply their registration fee toward their first year's student member dues.

Employment Opportunities
AIAA is assisting members who are searching for employment by providing a bulletin board at the technical meetings. This bulletin board is solely for “open position” and “available for employment” postings. Employers are encouraged to have personnel who are attending an AIAA technical conferences bring “open position” job postings. Individual unemployed members may post “available for employment” notices. AIAA cannot assume responsibility for notices forwarded to AIAA Headquarters. AIAA reserves the right to remove inappropriate notices. AIAA also provides online Career Services. Members can post resumes, browse job listings, and access other online employment resources. Restrictions Videotaping or audio recording of any session during this conference is prohibited. The sale of any publications not authorized by AIAA is also prohibited.


International Traffic in Arms Regulations (ITAR)
AIAA speakers and attendees are reminded that some topics discussed in the conference could be controlled by the International Traffic in Arms Regulations (ITAR). U.S. Nationals, which are U.S. Citizens and Green Card Holders, are responsible for ensuring that technical data they present in open sessions to non-U.S. Nationals in attendance or in conference proceedings are not export restricted by the ITAR. U.S. Nationals are likewise responsible for ensuring that they do not discuss ITAR export restricted information with non-U.S. Nationals in attendance.
