Audiovisual
Each session room will be preset with the following: one LCD projector and cables, one screen, and one microphone and sound system (if necessitated by room size). A 1/2" VHS VCR and monitor, an overhead projector, and/or a 35-mm slide projector will only be provided if requested by presenters on their abstract submittal forms. Please note that computers will not be provided with the computer projectors, and it is the responsibility of each presenter to bring or arrange for a computer on their own. As a backup, presenters planning to use the computer projectors should also come prepared to give their presentation by some other means (e.g., overhead projector) in case of any problems. Any additional audiovisual requirements, or equipment not requested with the abstract submittal, will be at cost to the presenter. If your authors require any additional AV, please e-mail AIAA at jeanr@aiaa.org or have them fax their requests to Jean Riley at 703.264.7551 by 3 August 2009. Please note all requests must be in writing and must include the paper number and session number.



Awards Presentations
The following AIAA awards are scheduled to be presented at the AIAA Awards Luncheon on Wednesday, 16 September:

  • AIAA Space Automation and Robotics
  • AIAA Gardner-Lasser Aerospace History Literature Award



  • Certificate of Attendance
    Certifi cates of Attendance are available for attendees who request documentation at the conference itself. Please request your copy at the on-site registration desk. AIAA off ers this service to better serve the needs of the professional community. Claims of hours or applicability toward professional education requirements are the responsibility of the participant.



    Committee Meetings
    Meeting room locations for AIAA committees will be posted on the message board in the conference registration area. Committee meetings will take place at the Hilton Pasadena.



    Conference Proceedings
    Proceedings for the conference (technical papers only) will be available in two formats: online proceedings and aft er-meeting DVD. The cost is included in the registration fee where indicated. The online proceedings will be available on 31 August 2009. Attendees who register in advance for the online proceedings will be provided with instructions on how to access the conference technical papers. Those registering onsite will be provided with instructions upon registration. The after-meeting DVD will be mailed approximately eight weeks after the conference.



    Cyber Cafe
    Computers with complimentary Internet access for conference attendees will be available at the AIAA Cyber Café, located in the exhibit hall. Hours of operation are as follows:

    Employment Opportunities
    AIAA is assisting members who are searching for employment by providing a bulletin board at the technical meetings. Th is bulletin board is solely for “open position” and “available for employment” postings. Employers are encouraged to have personnel who are attending an AIAA technical conference bring “open position” job postings. Individual AIAA members may post “available for employment” notices. AIAA cannot assume responsibility for notices forwarded to AIAA Headquarters. AIAA reserves the right to remove inappropriate notices.

    AIAA members can post and browse résumés, browse job listings, and access other online employment resources by visiting the AIAA Career Center at http://careercenter.aiaa.org.

    2008 Video Highlights



    International Traffic in Arms Regulations (ITAR)
    AIAA speakers and attendees are reminded that some topics discussed in the conference could be controlled by the International Traffic in Arms Regulations (ITAR). U.S. nationals, who are U.S. citizens and Green Card holders, are responsible for ensuring that technical data they present in open sessions to non-U.S. nationals in attendance or in conference proceedings are not exportrestricted by the ITAR. U.S. nationals are likewise responsible for ensuring that they do not discuss ITAR export-restricted information with non-U.S. nationals in attendance.



    Journal Publication
    Authors of appropriate papers are encouraged to submit them for possible publication in one of the Institute’s archival journals: AIAA Journal; Journal of Aircraft ; Journal of Guidance, Control, and Dynamics; Journal of Propulsion and Power; Journal of Spacecraft and Rockets; Journal of Th ermophysics and Heat Transfer; or Journal of Aerospace Computing, Information, and Communication. You may now submit your paper online at www.writetrack.net/.

    WriteTrack will be replaced by ScholarOne Manuscripts (Thomson Reuters) during 2009. More infomration about the transition is available on the WriteTrack web site.



    Luncheons
    Luncheons with keynote addresses will be held Tuesday–Thursday, 15–17 September. The cost is included in the registration fee where indicated. Additional tickets may be purchased upon registration or at the on-site registration desk.



    Membership
    Nonmembers who pay the full nonmember registration fee will receive their first year’s membership at no additional cost. Members who wish to renew or reinstate their membership must also pay the full nonmember registration fee.



    Messages and Information
    Messages will be recorded and posted on a bulletin board in the registration area. It is not possible to page attendees. Registration phone number will be in the final pogram.



    NASA Conference Restrictions Lifted
    NASA participation at technical conferences has been cleared per an April 10 NASA Interim Directive 9312.2. Read Acting Administrator’s letter to AIAA. To read the letter, click HERE



    Nondiscriminatory Practices
    AIAA accepts registrations irrespective of race, creed, sex, color, physical handicap, and national or ethnic origin.



    Notice on Visas
    If you plan to attend an AIAA technical conference or course held in the United States and you require a visa for travel, it is incumbent upon you to apply for a visa with the U.S. Embassy (consular division) or consulate with ample time for processing. To avoid delays, AIAA strongly suggests that you submit your formal application to U.S. authorities a minimum of 120 days in advance of the date of anticipated travel.

    Video or audio recording of sessions or technical exhibits, as well as the unauthorized sale of AIAAcopyrighted material, is prohibited.



    Speakers Briefing
    Authors who are presenting papers, keynote speakers, panelists, and session chairs will meet for a short briefing on the day of their presentations at 1300 hrs on Monday, 14 September, or 0700 hrs on Tuesday–Thursday, 15–17 September, at the Pasadena Convention Center. Please attend on the day of your session(s). Continental breakfast will be provided.



    Timing of Presentations
    Each paper presentation will be allotted 30 minutes, including introduction and question and-answer period, except where noted in the program. All panel sessions within the technical program will be allotted two hours, including introduction and question-and-answer period.
