    What to Know On-Site

    On-Site Check-in

    Partnering with Expo Logic, we've streamlined the on-site registration check-in process! All advance registrants will receive an e-mail with a registration barcode. In order to pick up your badge and conference materials, make sure to print the e-mail that includes your ExpressPass Barcode, and bring it with you to the conference. Simply scan the ExpressPass barcode at one of the ExpressPass stations in the registration area to print your badge and receive your meeting materials.   

    AIAA Registration and Information Center Hours

    The AIAA Registration and Information Center will be located in the Ballroom 20 Lobby at the San Diego Convention Center.

    Conference Proceedings

    Proceedings for this conference will be available in proceedings format. The cost is included in the registration fee where indicated. The online proceedings
    will be available on 10 September 2013. Attendees who register in advance for the online proceedings will be provided with instructions on how to access them. Those registering on-site will be provided with instructions at that time.

    Speakers’ Briefings in Session Rooms

    Authors who are presenting papers will meet with session chairs and co-chairs in their session rooms for a short briefing on the day of their sessions to exchange bios and review final details prior to the session. Briefings will meet 30 minutes prior to the start of the session. Please attend on the day of your session(s). Laptops pre-loaded with the Speakers’ Briefing preparation slides will be provided in each session room.

    “No Paper, No Podium” and “No Podium, No Paper” Policies

    If a written paper is not submitted by the final manuscript deadline, authors will not be permitted to present the paper at the conference. Also, if the paper is not presented at the conference, it will be withdrawn from the conference proceedings. It is the responsibility of those authors whose papers or presentations are accepted to ensure that a representative attends the conference to present the paper. These policies are intended to improve the quality of the conference for attendees.

    Cyber Café

    Computers with complimentary Internet access for conference attendees will be available at the AIAA Cyber Café, located in the exposition hall.

    Wi-Fi Internet Access On Site: AIAA may provide limited Wi-Fi service for attendees to use while on site. To keep this service available and optimized for all attendees, please do not download files larger than 2MB, create multiple sessions across multiple devices, or download multiple files in one session. If you receive an error message that an AIAA server is blocking your current IP address, please inform the AIAA registration desk.

    Journal Publication

    Authors of appropriate papers are encouraged to submit them for possible publication in one of the Institute’s archival journals: AIAA Journal; Journal of Aircraft; Journal of Guidance, Control, and Dynamics; Journal of Propulsion and Power; Journal of Spacecraft and Rockets; Journal of Thermophysics and Heat Transfer; or Journal of Aerospace Computing, Information, and Communication. You may now submit your paper online at

    Certificate of Attendance

    Certificates of Attendance are available for attendees who request documentation at the conference itself. Please request your copy at the on-site registration desk. AIAA offers this service to better serve the needs of the professional community. Claims of hours or applicability toward professional education requirements are the responsibility of the participant.

    International Traffic in Arms Regulations (ITAR)

    AIAA speakers and attendees are reminded that some topics discussed in the conference could be controlled by the International Traffic in Arms Regulations (ITAR). U.S. nationals (U.S. citizens and permanent residents) are responsible for ensuring that technical data they present in open sessions to non-U.S. nationals in attendance or in conference proceedings are not export restricted by the ITAR. U.S. nationals are likewise responsible for ensuring that they do not discuss ITAR export-restricted information with non-U.S. nationals in attendance.

    Employment Opportunities

    AIAA assists members who are searching for employment by providing a bulletin board at technical meetings. This bulletin board is solely for “open position” and “available for employment” postings. Employers are encouraged to have personnel who are attending an AIAA technical conference bring “open position” job postings. Individual AIAA members may post “available for employment” notices. AIAA cannot assume responsibility for notices forwarded to AIAA Headquarters. AIAA reserves the right to remove inappropriate notices. AIAA members can post resumes, browse job listings, and access other online employment resources by visiting the AIAA Career Center at


    Each session room will be preset with the following: one laptop computer, one LCD projector, one screen, one microphone and sound system (if necessitated by room size), and one laser pointer. You may also use your own computer. Any additional audiovisual equipment requested will be at cost to the presenter. For additional A/V equipment requests, please contact Joanne Zook by 27 August 2013. 

    Young Professional Guide for Gaining Management Support

    Young professionals have the unique opportunity to meet and learn from some of the most important people in the business by attending conferences and participating in AIAA activities.     Messages and Information

    Messages will be recorded and posted on a bulletin board in the registration area. It is not possible to page attendees. AIAA reserves the right to remove inappropriate notices.

    Nondiscriminatory Practices

    AIAA accepts registrations irrespective of race, creed, sex, color, physical handicap, and national or ethnic origin.


    Video or audio recording of sessions or technical exhibits, as well as the unauthorized sale of AIAA copyrighted material, is prohibited.
