Who May Nominate?

Any AIAA member in good standing may nominate candidates for any of the awards. Self-nominations are not permitted.

Who Can Be Nominated?

AIAA wishes to recognize its members through the honors and awards program while also recognizing the most respected individuals worldwide. In most cases, AIAA membership is not required, however because contributions to the aerospace community are important criteria in the selection of award recipients, AIAA service/participation may be a discriminator between otherwise equal candidates. 

For AIAA section awards, AIAA service awards (with exception of the AIAA Public Service Award) and the AIAA Engineer of the Year Award, the nominee must be an AIAA member in good standing. 

Current members of the AIAA committee/group responsible for the selection process for a particular award are not eligible to be nominated for that award until expiration of their membership term, which occurs yearly on April 30th.  Membership term is defined as being on a committee/group roster at AIAA HQ between May 1st – April 30th.

Current members of the AIAA Board of Trustees and/or AIAA Council of Directors are not eligible to be nominated for any AIAA award until their term of service ends. Terms of service typically start and end in May, with the turnover of the Board and Council.

Current members of the AIAA Staff are not eligible to be nominated for any AIAA Award while employed by AIAA.  A former AIAA employee with past AIAA volunteer service may be nominated after their employment is terminated, but the justification for the award nomination should be based on their volunteer service and not their AIAA employment.

Nominees/awardees may not receive more than one AIAA award for the same accomplishment or body of work. Careful consideration should be given when nominating to ensure that the relevant accomplishments of the nominee are presented clearly and precisely, so that overlap between prior and future awards does not exist. This guideline applies to all awards, including awards where AIAA is a partner, but it does not apply to AIAA lectureships or to fellows and honorary fellows honors. 

All nominees must be living at the time of the nomination deadline. Posthumous awards will only be made if the selectee passes after AIAA headquarters formally notified the person of their selection for the award but prior to presentation of the award. If a nominee passes during any carryover period, the nomination will be withdrawn and AIAA will notify the nominator. If a nominee passes while the selection process is ongoing, the nomination will be withdrawn and will not be considered. 

Up to four co-recipients may be nominated for the same award if permitted in the award description and is subject to the nomination procedures and page limit. Their names should be indicated as “nominee” on the nomination form, with their contact information listed. It is suggested that the nominator contact AIAA Honors and Awards prior to preparation of the nomination to confirm award specifics. 

A team may be nominated if permitted in the award description and is subject to the nomination procedures and page limit. The team name should be indicated as “nominee” on the nomination form, with the primary point of contact and contact information indicated. A one-page roster of key team leads/contact information will substitute for the one-page resume. The one page summary of public contributions may be submitted if applicable. Three signed one page letters of endorsement from AIAA members are required. It is suggested that the nominator contact AIAA Honors and Awards prior to preparation of the nomination confirm award specifics.

How Can I Submit a Nomination?

Any AIAA member in good standing may submit a nomination. Nominators are reminded that the quality of information is most important and are urged to carefully prepare the nomination and supporting materials.

To submit a nomination, the nominator should email the nomination package as a single pdf to AIAA Honors and Awards on or by the nomination deadline. It is important to submit the correct award nomination form: Award Nomination Form (for technical and service awards), Lecture Nomination Form (for distinguished lectureships), or Publication Nomination Form (for publication awards).

The complete nomination package includes a signed nomination form, one-page basis of award, one-page resume, one-page summary of public contributions and three signed ONE-PAGE letters of endorsement from AIAA members. It may not exceed seven pages. However, if applicable, two additional signed one page letters of endorsement may be submitted, increasing the limit to nine pages.

To place a nomination for the AIAA Sustained Service Award, the nominator should email the nomination as a single pdf to AIAA Honors and Awards on or by the nomination deadline.  The complete nomination package includes a signed nomination form and scoresheet and one page documenting AIAA service and activities must be submitted by the nomination deadline. To be eligible, the scoresheet must total a minimum of 100 points.  Signed one page letters of endorsement may be submitted but are not mandatory. Technical accomplishments are not a consideration for this award.

Prior to submitting the nomination to AIAA, it is the nominator's responsibility to contact 3 AIAA members in good standing and obtain their willingness to support the nomination with a signed ONE-PAGE letter of endorsement.  The quality of information in the letter of endorsement cannot be overemphasized and should reflect the merits of the nominee in receiving the award as well as how the letter writer is familiar with the nominee.  The nominator may not serve as a reference.

A 25-word citation must be included on the nomination form and summarizes the accomplishment being recognized with the award.  It must be substantially different from past awards received to avoid overlap.  In the case of a lectureship, the citation is to be replaced with a proposed lecture title.

Any nomination package exceeding the page limit will be returned to the nominator.  The nomination package may be re-submitted to AIAA by the nomination deadline providing it meets the page limit.

The nomination package that complies with the award guidelines and is on file at AIAA on or by the nomination deadline is the nomination package that will be forwarded to the appropriate selection committee.

When Are Nominations Due?

There are three nomination cycle deadlines in the AIAA Honors & Awards Program: 1 February, 1 July, and 1 October.  Nomination deadlines are listed with the award information on the AIAA website and are firm.  A Call for Nominations will be published in Aerospace America, on the  AIAA website, and in other member outreach media as appropriate. All committees ae encouraged to identify potential candidates.

No extensions will be granted.

Nomination packages will be accepted on a daily basis by AIAA and considered for the appropriate award cycle.

How Many Complete Nominations Must Be Submitted and Who Selects Award Recipients?

Nomination packages will go forward to the appropriate award selection committee if there are at least three complete nomination packages (new and carryover) for that award on file at AIAA by the nomination deadline date.  The nominator and/or references are not permitted to serve on the award selection committee who will consider their nominee.

AIAA committees/groups responsible for awards are highly encouraged to submit at least one new nomination each award cycle. For the Excellence in Aerospace Standardization Award, nomination packages will go forward to the appropriate award selection committee if there are at least five complete nomination packages (including carryover and at least two new nominations) for that award on file at AIAA by the nomination deadline date.

How Will I Know If My Nominee Has Been Selected For an Award?

In approximately 3-4 months after the award deadline, an award letter is sent to the awardee, the nominator, AIAA section, AIAA regional deputy director-honors and awards, and responsible selection committee (if appropriate). The letter will contain specifics on the presentation of the award.

Will I Be Advised That My Nominee Has Not Been Selected For an Award?

In approximately 3-4 months after the award deadline, the nominator will be notified by AIAA that the nominee has not been selected and whether the nomination will be carried over for consideration the following award cycle, or if the nomination has expired. The nominator is to inform the nominee.

How Can I Find Out How Many Nominations (New or Carryovers) Are On File at AIAA?

AIAA encourages award subcommittee or committee chairs to email Patricia A. Carr, manager, Honors and Awards.

When Do Nominations Expire?

Should a nominee not be selected in the initial year of submission, for annual awards the nomination will be carried over for the two immediately following award cycles.  For other than annual awards, the nomination will be carried over for the one immediately following award cycle. The award need not be made to count as an award cycle. 

For other than annual award nominations being carried over, AIAA highly encourages the nominator to refresh the nomination package with updated information or supplemental materials by the next nomination deadline.  The nomination package must still meet the page limit. 

If a nomination package is updated following its initial year of consideration, it will be considered a new nomination and in its first year of review. Reference forms from that initial nomination submission may be re-used for this first update. 

If the nominee is not selected in the initial year or during the carryover period, the nomination will expire.  If the nominator wishes the nominee to be considered in the future, a new nomination package must be submitted by the next nomination deadline.

When Are Awards Presented And Who Presents Them?

The General Chair of the Forum and/or the Group Director on behalf of the AIAA community presents awards at an AIAA technical conference forum or other venue as determined by the AIAA Honors & Awards Committee. In a few cases, the awardee's local AIAA section may be requested by AIAA Honors and Awards to assist with the award presentation.

It is the responsibility of AIAA Headquarters to ensure that suitable provisions are made at appropriate AIAA conferences or other appropriate venue for the dignified presentation of the award.  Because of the volume of awards in the AIAA honors and awards program, awards have been pre-assigned to an appropriate presentation venue and unfortunately may not be re-scheduled for presentation at another venue.

How are Award Recipients Recognized?

Recognition of award recipients after the fact will appear in an appropriate issue of Aerospace America or other appropriate member outreach media. A roster of past recipients is located within the award information on the AIAA website.

AIAA committees/groups who are responsible for a particular award may post award information and a roster of award recipients on their own website. A press release announcing the award recipient will be prepared and distributed upon request.

Who Administers the AIAA Honors & Awards Program?

The administration of all awards resides at AIAA Headquarters, under the auspices of the AIAA Honors & Awards Committee.
